Since the project kick off last October, the migration from DocuShare to SharePoint Online has been advancing steadily, with some faculties and services already active on their new sites.
Several implemented initiatives enable units to maximize of SharePoint Online's features, including:
- Training sessions for effective site management, alternating weekly in French and English until the end of May.
- An evolving project-dedicated SharePoint Online website containing information and support in the form of job aids and videos is available since late 2023.
- Ongoing communications to the faculties and services involved in each stage of the migration up until the final delivery.

The project is jointly led by Information Technology and Information and Archives Management. By leveraging our Microsoft 365 licenses, we can use SharePoint Online to enhance collaboration and document sharing internally or externally without using a VPN, with up to eight people collaborating on the same document simultaneously. And by strategically positioning an Electronic Document and Records Management System into the application we allow for a more structured management of information, centralized in a single repository, thus creating a ‘’single version of the truth’’ for shared documents. A dual compliance with legal requirements for information management and with Transformation 2030 for increased agility and connectivity.
