We have bulletin boards in 15 buildings across the campus (PDF, 140KB). Displaying and posting images, films, notices, signs, etc., on uOttawa's campus is a privilege, not a right. Conventions and Reservations will determine whether to approve, deny, or delay any displays or postings based on timing, location, content, community appropriateness and posting policy requirements.

Posting and advertising
To submit your posters
- Fill out the external posting form (PDF, 169KB) or internal posting form (PDF, 296KB).
- Send us an email with a scanned copy of your poster and the completed form at [email protected] for review and approval. Allow 48 hours (2 business days) for a response.
Note: Research projects must also provide a copy of their Ethic Committee Certificate. - Once approval is received, come to our office (University Centre, room 339) during business hours with the following:
• The completed postering form;
• If applicable, a copy of your Ethic Committee Certificate;
• Copies of your bilingual posters (total 32 posters);
• Payment. - We accept interact, Visa, Mastercard only. For uOttawa faculty and services, your FOAP must be indicated in the postering form. Note: It may take a few minutes to get our seal of approval on your posters. Please plan your time accordingly.
Posting Period
- If you would like the postering to be done on your behalf, posters must be brought to our office before Wednesday 12 p.m. (noon). We will post them on Thursday afternoon.
- If you wish to post your poster yourself, we will remove it according to our postering period.

Posting regulations
In order for your poster to be approved, please be sure it complies the posting rules. We reserve the right to remove any posters that do not comply with these rules.
- The maximum size of posters is 11” x 17” (28cm x 43cm) for 30 posters. We recommend printing 32 posters in case we run into any unforeseen issues. The client is responsible for the production and printing of the posters.
- Fees vary depending on the size of your poster, postering period and posting service ($).
- To respect the University Bilingual Policy, each poster must contain a complete version of its message in both official language, French and English. If you choose to create a poster in each language, it will be considered two posters and the applicable fee will apply.
- Any internal poster must contain the name of the university group and their logo and/or the University of Ottawa’s brand image.
- The advertisement must follow the Liquor License Act of Ontario and the Alcohol and Gaming Commission of Ontario Advertising Guidelines.
- All posters must be stamped with the "Conventions and Reservations - University of Ottawa" seal. The date stamped on the poster represents the expiration date of the display. Any poster not stamped on the poster boards will be removed. To have your poster stamped, you must come to our office with your posters.
Unauthorised posters:
- Job postings. Please contact the Career Corner at [email protected].
- Housing related posters- please contact the Off-Campus Housing team.
- Personal ads and sales of items.
- Posters with words or images that incite violence or confrontations will be denied posting privileges.
- Individuals or groups of individuals whose posters compromise the rights or the reputation of another individual or group will be denied posting privileges. Furthermore, with respect to the parties involved, Conventions and Reservations cannot be held responsible for damages resulting from such postings, whether authorized or not.
Other guidelines
- Only staples and push pins can be used on billboards. Posting made with any other means of display will be removed.
- No more than one identical or similar poster may be placed on a posterboard.
- Neither Conventions and Reservations, nor the University of Ottawa, are responsible for stolen or damaged posters.
- Posters displayed on Conventions and Reservations billboards, those displayed on top of others, and posters that exceed the limits of our bulletin boards will be removed.
- Research projects with a valid Ethics Committee certificate will be allowed to post up to 1 poster on each bulletin board, free of charge, for a two-week period. To obtain this discount, the client is responsible to post the posters. All posters must be stamped with the "Conventions and Reservations - University of Ottawa" seal.
- Student Groups, UOSU Main Office and services, and CUPE will be allowed to post up to 1 poster on each bulletin board, free of charge, for a two-week period.
