Employees who prefer to request their employee card in person can do so starting in early January by visiting Huguette Labelle Hall, located in the Tabaret building, room 112. Please note that this coincides with student card requests, so there may be long wait times.

You can still submit your card request online. We recommend doing so as soon as possible, as upcoming changes in the new year will require you to use your new employee card.
You have three options for submitting your request:
- Upload your government-issued ID, ensuring only your photo and name are visible.
- Upload a copy of your Staff Card from our previous system if it can be used to identify you.

For now, the new card functions similarly to the previous one, allowing access to library and sports services. Additional features, such as access to printers/copiers and building entry, will be introduced in the coming year.
You will still need your key fob to access buildings. Once your building is equipped with the new security system, the key fob will no longer be necessary.

After logging in, select "Human Resources," click on "Employee Essentials" and submit your issue with the "Employee Card" form.
You may continue using your white access card until the new technology is installed in your office building. At that point, the new employee card will replace it. Please return your current employee card when you receive the new one.
The University provides your first card at no cost. If the card is lost, you must replace it at your own expense. For malfunctioning cards, bring them to Human Resources (Tabaret Hall, room 019). If the issue is a manufacturing defect, the replacement will be free. For replacement costs, visit our website.
If your card request was refused, it is likely due to non-compliance with picture guidelines or missing government-issued ID or staff card. You must restart your request.
Your government ID is deleted from the Card Exchange system once reviewed and approved or refused by our team.
We are aware that employees with multiple positions may experience issues if their primary position is listed as a terminated contract. We are working to resolve this and will notify you when a solution is implemented.
The University of Ottawa's Card Exchange system provides a secure online process for employee card requests, leveraging Microsoft Azure's advanced security features.
Sensitive information, such as photos and government-issued IDs, is securely stored during the request process and permanently deleted once the card is printed. This ensures privacy, reduces data breach risks, and complies with data protection regulations.
The new card integrates with the student card system and offers more functionality:
- Starting January 2025, new printers will require the employee card for use, replacing Xerox with HP-brand printers for campus-wide access.
- Over the next 18 months, a new building access control system will be introduced. The new card will be required to access locked buildings, classrooms, labs, and offices.
